Grievance procedure
At Valdes Language Services, we welcome feedback from all stakeholders and are committed to addressing concerns respectfully, fairly, and confidentially. We do not tolerate retaliation against anyone who raises a grievance or participates in the grievance process.
1. Submit a grievance
Stakeholders may submit feedback or grievances through the contact form on our Contact Us page. Please include your preferred contact method, email or phone, so we can follow up with you. You may request that your identity remain confidential, particularly if you are concerned about potential retaliation.
2. Receive a response
We review each grievance and respond within two business weeks of receiving it, using the stakeholder’s preferred contact method. At the outset, we explain who needs to be involved in or informed about the grievance and how the information provided will be used.
3. Protect confidentiality and prevent retaliation
We limit access to grievance information to those who need it to review and address the concern. We seek consent before sharing identifying information with additional parties, unless disclosure is required by law, and maintain confidentiality regarding the outcome of the process.
We assess potential risks to the person raising the grievance and other affected stakeholders and take appropriate steps to protect them from retaliation. Any reported retaliation or breach of confidentiality will be reviewed and may result in disciplinary or other corrective action.
4. Work toward a resolution
We listen carefully to each stakeholder’s concerns and work toward a fair resolution that addresses the issues raised. If additional time is needed, we communicate the next steps and an expected timeline. We communicate the outcome to the person who raised the grievance while respecting the confidentiality of everyone involved.
